Terms and Conditions of Hire
Sydney Bus Hire Co. moves groups of every size around Sydney and New South Wales, from a 12-seat minibus on an airport run to a line of full-size coaches for a conference or school carnival. These terms are the agreement between you and us whenever you book. We have kept them plain so you know what to expect, what we need from you and what each charge covers.
Last updated: 31 October 2026
1. About these terms
1.1 These terms cover every service Sydney Bus Hire Co. supplies: charters, transfers, tours, school and corporate work, events, airport runs and private hire. “We”, “us” and “our” mean Sydney Bus Hire Co. “You” or “the Hirer” means whoever makes the booking, and “Passengers” means everyone travelling under it.
1.2 Booking, paying a deposit or travelling with us means you accept these terms in full. As the Hirer you must also make sure your Passengers know and follow the rules that apply to them.
1.3 We may update these terms at any time. The version on this page applies and takes effect when published.
1.4 Nothing here reduces your rights under the Australian Consumer Law (Schedule 2, Competition and Consumer Act 2010 (Cth)). Where a clause conflicts with that law, the law prevails.
1.5 For school bookings, section 22 applies first and overrides the general terms where they differ.
2. Quotes and bookings
2.1 We price each quote on the details you give us. It stays valid for 14 days, may change if your plans change, and does not hold a vehicle.
2.2 A tentative booking is held for three business days. After that it lapses unless the deposit is paid.
2.3 A booking is confirmed only when we have your written acceptance and the deposit. A verbal “yes” does not confirm anything. We may decline any booking without giving a reason.
2.4 Fares run depot to depot and include GST, fuel, insurance, kilometres and a qualified driver. For hourly work in the Sydney metropolitan area we add at least two hours to cover travel to your first pickup and back from your last drop-off. That allowance can grow with the time of day, traffic and the number of stops.
2.5 We price the vehicle, not the head count. A 12-seat minibus costs the same for 2 people or 12, and a confirmed fare is not reduced if fewer people travel. Weekends and public holidays attract penalty rates.
2.6 Give us full addresses, contact details and an accurate itinerary before the service date.
3. Deposits, payments and card fees
Booking more than seven days ahead: a 20% non-refundable deposit secures your vehicle and driver, and the balance is due at least seven days before travel. Booking seven days or less ahead: pay in full when you book.
3.1 Unless we agree otherwise in writing, the 20% deposit applies to every booking made more than seven days out. If the balance is still unpaid inside seven days, we may cancel without further notice and apply the fees in section 4. A booking cancelled for non-payment is a non-cancelled service, charged at 100%.
3.2 We may ask for a bond on some work, such as late nights, large groups, higher-risk events and school or youth bookings. You authorise us to keep some or all of it, or charge your nominated card, to recover overtime, waiting time, cancellation fees, damage, cleaning, fines, parking, tolls or other costs arising from the booking.
3.3 Overdue invoices attract interest at 10% per year from the due date, and you agree to pay our reasonable recovery costs, including legal and agency fees, whatever the outcome.
3.4 We charge Square’s Payment Processing Fee of 2.25% on the value of every card payment. This is the administration fee Square charges us to process card payments, not a credit card surcharge, and it is itemised on your tax invoice.
| Payment method | Fee |
|---|---|
| Visa, Mastercard and American Express (personal or commercial) | 2.25% of the card payment |
| EFTPOS and Australian bank transfer | 0% |
| International wire transfer | $30.00 AUD flat fee |
3.5 Online payments need your Booking ID. For bank transfers, quote your Invoice Number and Booking ID so we can match the payment; our account details are on the invoice. We accept neither cash (drivers never handle money) nor cheques. Receipts are emailed, and a written card authorisation form is available on request.
4. Cancellations and refunds
4.1 Cancel by emailing [email protected]. It takes effect only when we acknowledge it in writing. Telling the driver, leaving a voicemail or not paying is not a cancellation.
4.2 A “non-cancelled service” is a booking not cancelled in writing, or a service you do not use once our vehicle has left the depot. It is charged at 100%.
| Notice given | Cancellation fee (on the total invoice) |
|---|---|
| More than 7 days before | 10% |
| 6 days before | 20%, or the deposit if greater |
| 5 days before | 50%, or the deposit if greater |
| 4 days before | 70% |
| 3 days before | 80% |
| Within 48 hours | 100% |
| No-show or non-cancelled service | 100% |
Fees climb steeply in the final week. If you may need to cancel, email us the moment you know. We may reduce or waive a fee in exceptional circumstances, entirely at our discretion.
4.3 No refund is given where a service is ended because of misconduct, a breach of these terms, an alcohol breach or a safety risk created by your instructions.
4.4 If we cannot run a service because of mechanical failure or something beyond our reasonable control, we will try to supply an equivalent vehicle. Otherwise our liability is limited to refunding the part not operated, with no cover for consequential loss, missed events or third-party costs.
4.5 Regular school runs and contracted services follow their own contract; without one, this table applies. School excursions use the scale in section 22.
5. Date changes and amendments
5.1 We do not offer credits, deferrals or postponements. Moving a date means cancelling the original booking and creating a new one: releasing the vehicle and driver, checking the fleet for the new date, re-rating it for weekends, holidays, after-hours or peak season, and issuing a new reference, invoice and roster. Availability on the new date is never guaranteed and cannot be held without the new deposit.
| If we can move your date | What applies |
|---|---|
| Rebooking fee | $110.00 including GST for each change |
| Rate | The new date’s rate applies; any increase is added and any saving is credited |
| Notice | Four weeks’ written notice before the original date avoids the original cancellation fee. Inside four weeks a partial cancellation fee may apply as well |
| Deposit | Carried over if confirmed more than four weeks out; otherwise kept as part of any cancellation fee |
| Same day | Not possible. A same-day request is a non-cancelled service at 100% |
5.2 Each further change is another rebooking with another $110.00 fee, and we may refuse more changes if they disrupt our schedule.
5.3 If we cannot move your date, you may (A) cancel under section 4, measured from the original date; (B) keep the original date at no extra cost; or (C) keep the booking and wait in case the new date frees up. We are not obliged to tell you if it does, and the original fee scale keeps running. Waiting inside seven days is risky: cancel three days out and the fee is already 80%, and inside 48 hours it is 100%.
5.4 Other changes must be requested in writing and depend on availability. After the Booking Confirmation is issued, an administration fee applies on top of any fare difference (an upgrade costs the rate difference plus the fee).
| Change | Examples | Fee |
|---|---|---|
| Minor | Contact name, time moved 30 minutes or less, numbers within the same vehicle | From $10 |
| Moderate | Route change, extra stop, time moved over 30 minutes, vehicle change | From $25 per change |
| Significant | New itinerary, several changes, anything needing a new quote | From $50 per booking |
| Complex | Several bookings, last-minute restructure, heavy administration | Assessed and advised before we proceed |
6. Waiting time, extra stops and penalty rates
6.1 Price depends on vehicle size and type, pickup point, route length and depot travel, time and day (peak, weekend, holiday and after-hours), total hours, type of service and any overnight or interstate needs.
6.2 The first 15 minutes after your booked departure are free. After that, waiting is charged in 15-minute blocks: $30.00 for a minibus (12 to 24 seats) and $50.00 for a coach (34 to 62 seats).
6.3 Stops added after booking cost from $10 for a small detour, from $25 within the same area and from $50 for another suburb or a longer route. Regional or interstate stops are quoted separately.
6.4 Your invoice may also include: tolls at cost (Class B rates); paid parking at Sydney Airport, Central Station, Sydney Olympic Park, venues and elsewhere; national park and venue entry; overtime; vehicle changes after confirmation and extra Passengers on the day; cleaning and damage charges; amendment fees; driver accommodation and meals on overnight work; and fines caused by an illegal stopping point you nominated.
After-hours and holidays
6.5 Any part of a job starting or finishing outside standard hours is “out of standard operations” (after-hours) and carries a loading on that portion, shown in your quote.
| Period | Loading on base rate |
|---|---|
| Starting before 6:00 AM | Time and a half |
| Running past 10:00 PM | Time and a half |
| Running past midnight | Double time |
| Sunday | Sunday penalty rate, quoted |
| NSW public holiday | At least 30% |
6.6 A service starting between 10:00 PM and 6:00 AM carries a minimum after-hours charge however short it is; the after-hours rate, not a minimum duration, sets the price.
6.7 Public holidays include New Year’s Day, Australia Day, Good Friday, Easter Saturday, Easter Monday, ANZAC Day, the King’s Birthday, Bank Holiday, Labour Day, Christmas Day and Boxing Day. ANZAC Day is fixed on 25 April under the Public Holidays Act 2010 (NSW); if it falls on a weekend and the following Monday is declared a holiday, the surcharge applies on both days. Checking whether your date is a holiday is your responsibility.
7. Overtime and travel times
7.1 Your fare covers the hours in your Booking Confirmation, plus 15 minutes’ grace. After that, overtime is charged in blocks of at least one hour at your vehicle’s hourly rate, with any after-hours loading added. It applies whatever the cause, including late-running events, late venue access, slow boarding, extra stops or breaks you request.
7.2 We will not charge overtime for the part of an overrun caused only by traffic that could not reasonably have been foreseen. Sydney peak-hour congestion is foreseeable and is already priced into peak bookings. Flight delays are covered in section 17.
7.3 Times in your confirmation are estimates. We are not liable for delays from traffic, closures, crashes, weather, compulsory driver rest, compliance checks or other events outside our reasonable control, or for costs and missed commitments that follow. We suggest travel or event insurance and these minimum buffers:
| Trip | Allow at least |
|---|---|
| International departure | 3.5 hours at the airport before take-off |
| Domestic departure | 2.5 hours at the airport before take-off |
| Events | 30 minutes before the start |
| Peak hour (7:00 to 9:30 AM, 4:00 to 7:00 PM) | An extra 30 to 90 minutes |
| Long distances | Extra time, as coaches are limited to 100 km/h by NSW law; car navigation times will be too short |
8. Vehicle allocation
8.1 You are booking enough safe, legal seats for the number of Passengers you confirm, not a particular make, model, livery or layout. We assign an accredited vehicle according to fleet availability, scheduling and route planning, so it may differ from the one mentioned at quoting. A specific vehicle or feature is guaranteed only if agreed in writing. If mechanical or operational needs arise, we may substitute a vehicle with at least the same seating.
8.2 Larger groups may travel in two or more vehicles. Everyone booked and paid for will be seated safely and legally under NSW passenger transport law.
8.3 Tell us straight away if numbers rise. Extra people on the day may not fit, another vehicle may not be free, and one found at short notice may cost more. Nobody can travel over a vehicle’s legal capacity, and we are not liable when people cannot travel because numbers were understated.
If your group might grow, book the larger vehicle now. Upgrading early is cheaper and simpler than finding another bus on the morning of your event.
8.4 Our services are run by our own team. In exceptional cases, such as a breakdown, sudden driver unavailability or events beyond our control, we may engage another operator accredited by Transport for NSW for all or part of a booking. It will run under these terms, we will tell you as soon as practicable, and we stay responsible to you. This is not a breach of our agreement.
8.5 Nothing may be fixed to a vehicle without our written approval, and copyright material may be shown publicly on board only under a valid licence (see section 26).
9. Onboard safety and conduct
9.1 You are responsible for your Passengers’ behaviour from boarding until the last person steps off. Please brief everyone before the day.
Alcohol, opened or unopened, may never be carried or consumed on our vehicles, and we do not run party bus services such as birthdays, bucks or hens nights. A breach ends the service on the spot at the driver’s discretion, with no refund, full liability for the booking and any cleaning, damage or recovery costs, and police may be called. The Passenger Transport (General) Regulation 2017 (NSW) backs this rule, and it is not negotiable.
9.2 Food (including takeaway and snacks) and hot drinks such as tea and coffee are not allowed; bottled water always is. Eating while moving risks choking, hot drinks can scald under braking, food exposes others to allergens, mess can take a vehicle out of service, and the Regulation bans eating and drinking on buses with fines up to $550. A Passenger with a genuine medical need, such as diabetes, should seek our approval beforehand and tell the driver when boarding.
Not permitted
- Smoking or vaping (Smoke-free Environment Act 2000 (NSW)); smokers stay at least 4 metres from the vehicle.
- Standing, crowding the aisle, or approaching or distracting the driver while moving, including with loud noise, balloons or novelty items.
- More Passengers than the legal seating capacity.
- Tampering with emergency exits, exit hammers, extinguishers or other safety equipment, which may lead to removal and legal action.
- Abusive, aggressive, threatening, intoxicated or disruptive behaviour, or putting any body part outside a moving vehicle.
- Glass, fuel containers or generators, spiked or cleated shoes, illegal or non-prescription drugs, dangerous goods, bulk perishables, and balloons or decorations without our written approval.
Required of everyone
- Wear a fitted seatbelt at all times (Road Rules 2014 (NSW)) and stay seated while moving.
- Keep bags under seats or in racks, never in the aisle, stairwell or on a spare seat.
- Follow the driver’s lawful directions, and do not use an onboard toilet while moving; comfort stops are planned around driver breaks.
- Take all rubbish when leaving, and use only safe, legal pickup points (never clearways, bus, taxi, loading or no stopping zones).
- Dress properly, with a top, lower garment and footwear. The driver may refuse anyone who does not, especially where a venue has a dress code.
9.3 The driver may refuse, remove or end the service for any Passenger who is affected by alcohol or drugs in a way that puts others at risk; is disruptive, abusive or acting unlawfully; smokes or vapes on or near the vehicle; consumes alcohol or banned food or drink; shows signs of an infectious illness, including active vomiting or a condition notifiable under the Public Health Act 2010 (NSW); ignores a safety direction; has a recorded history of breaching these terms; or fails the dress standard. No refund is given, we are not responsible for their onward transport, and if the whole service ends you remain liable for the full booking.
10. Cleaning, biohazard and damage
10.1 If you are travelling with children, a school group or anyone prone to motion sickness, bring sickness bags. A bag used and disposed of without touching the vehicle costs nothing. Vomit or bodily fluids in the vehicle need biohazard decontamination under the Work Health and Safety Act 2011 (NSW) before it can carry anyone else.
| Contamination | Fee (including GST) |
|---|---|
| General mess needing more than a standard clean | From $88 |
| Vomit on the floor, aisle or a hard surface | $350 |
| Vomit on upholstery, a seatbelt or several surfaces | $550 |
| Faeces, blood or other serious biohazard | At least $550, assessed case by case |
10.2 We may also claim reasonable compensation where cleaning stops the vehicle covering a later booking.
10.3 You pay for damage your Passengers cause, such as broken seats or fittings, graffiti, torn upholstery, broken glass or luggage hold damage, on top of any cleaning fee. We provide a written assessment after the service. You are not liable for damage caused solely by our driver or staff.
11. Driver hours and fatigue
11.1 The driver controls the vehicle and all safety matters and may change the route or itinerary where safety or the law requires. No instruction from your group overrides this.
11.2 Our drivers hold a current NSW Driver Authority and the right heavy vehicle licence, and work under the Heavy Vehicle National Law fatigue rules, which you cannot vary. Our own policy is stricter than the national standard of 5.5 hours’ work before a 15-minute rest:
| Rule | Our limit |
|---|---|
| Continuous driving | 3 hours maximum, then a compulsory 20-minute break |
| Work in any 24 hours | 12 hours maximum |
| Rest | 7 continuous hours stationary between 10:00 PM and 8:00 AM, or 24 continuous hours on extended work |
| Work in any 7 days | 72 hours maximum |
11.3 Vehicle checks, cleaning, refuelling, helping Passengers, loading luggage and paperwork all count as work. Breaks are taken in one block, free of duties, and are never skipped, shortened or delayed.
11.4 Give us a realistic itinerary with time for traffic and rest, and disclose every stop, wait and route change in advance. Do not ask for extensions that would breach the limits, set impossible timetables or pressure a driver. Under the Chain of Responsibility provisions of the Heavy Vehicle National Law, hirers share legal responsibility for safety and can be personally liable.
11.5 To stay lawful we may adjust times, add a second or relief driver, or decline work that cannot legally be done. Legally required extra drivers, accommodation or schedule changes are compulsory and charged to you, advised in advance wherever possible. We are not liable for delays caused by compliance, including roadside inspections.
11.6 Drivers on school work hold a current Working With Children Check from the NSW Office of the Children’s Guardian under the Child Protection (Working with Children) Act 2012 (NSW).
12. Luggage and lost property
12.1 Declare all luggage when booking. We choose the vehicle and price from your declaration, and hold space is finite. The standard allowance is one large and one small bag per person. Oversized items include surfboards, ski gear, golf clubs, bikes, eskies, instruments, audio and filming gear, event displays, prams, wheelchairs and mobility aids, oversized cases, camp or camping gear, tools, boxes and machinery.
12.2 Vehicles are bound by Gross Vehicle Mass, axle and luggage bay limits under the Heavy Vehicle National Law and the Heavy Vehicle (Mass, Dimension and Loading) National Regulation, and can be checked at weigh stations. We will not knowingly drive an overloaded vehicle.
12.3 Undeclared luggage on the day may cause delays, be left behind, or require a larger vehicle, trailer, second vehicle, luggage van or courier at your cost and subject to availability. Anything that cannot travel safely and legally will not travel.
12.4 Drivers lift items up to 20 kg each. Your group must help with heavier items, and the driver may refuse anything unsafe, too heavy, dangerous, badly packed or likely to cause injury or damage. Motorised scooters and dangerous goods need our written approval. We may also refuse items likely to be damaged, to damage other property, or that are bulk perishables. Refused items remain your responsibility.
12.5 Belongings travel at the owner’s risk. To the extent the Australian Consumer Law allows, we are not liable for loss, theft or damage unless caused by our negligence, nor for delays, extra transport or fines arising from an inaccurate declaration.
12.6 Lost property is logged and held at our depot for 60 days. Collection or freight costs are the owner’s, and unclaimed items are then disposed of at our discretion.
13. Sealed roads and site access
13.1 Our vehicles travel only on sealed, formed roads: never gravel, dirt or sand, fire trails, farm tracks, construction roads or any surface not sealed with bitumen or asphalt.
13.2 Loose surfaces reduce grip, lengthen braking and destabilise tall coaches. Vehicles can bog, dust cuts visibility and damages engines and filters, and stones and branches damage glass, paint, mirrors and suspension. Many commercial insurance policies limit cover on unsealed roads, and such sites rarely have turning space, safe loading areas or emergency access.
13.3 If any point on your trip is reached only by an unsealed road, tell us beforehand so we can agree a sealed meeting point, or arrange other transport for that last stretch. A driver who finds the only access is unsealed may load or unload at the nearest safe sealed point. We may decline or alter bookings and routes where conditions are unsafe.
13.4 Every location must allow a bus to enter, turn and stop legally. Tell us in advance about height or weight limits, narrow streets, low branches or unsealed areas. Fines caused by a stopping point you nominated are charged to you.
14. Children, seatbelts and restraints
14.1 Under NSW law a bus has 13 or more seats including the driver’s. Rule 266 of the Road Rules 2014 (NSW) exempts buses from the duty to restrain passengers under 16, and Rule 267 sets out other seatbelt exemptions, so children on an accredited bus are not legally required to use a restraint or booster. Vehicles with 12 or fewer seats fall under point to point transport laws, where normal child restraint rules apply in full.
14.2 Regardless, every vehicle in our fleet has seatbelts and wearing them is a condition of travel for everyone, children included. Passengers 16 and over must wear one under Rule 265.
- One person per seatbelt. Never belt a child in on your lap.
- Never hold a baby in your arms while moving.
- Seat children as far from the front as practicable.
- Fold, lock and stow prams; on charter vehicles they cannot be used as a restraint.
| Age | Our recommendation |
|---|---|
| Under 12 months | Never carried in arms; a parent sits with the infant in a rear seat. Ask us for advice |
| 1 to 7 years | Bring a portable booster, sit towards the rear and use the belt |
| 7 to 15 years | Wear the fitted belt, rear seats preferred |
| 16 and over | Fitted belt required |
14.3 Buses are not built with ISOFIX or restraint anchor points, so do not assume a fixed restraint can be fitted. Our driver will help secure a portable booster as far as the vehicle allows, and it can usually stay aboard for the return. Tell us when booking if infants or young children are travelling. Supervising children and making sure belts are used is the job of you and the accompanying adults. This is general information, not legal advice.
15. Accessibility
15.1 We welcome Passengers with disability and aim for safe, dignified transport consistent with the Disability Discrimination Act 1992 (Cth) and the Disability Standards for Accessible Public Transport 2002 (Cth).
We do not operate wheelchair-accessible coaches, and our vehicles have no lift or ramp. Passengers board by the steps with assistance and travel in a standard seat. Folded wheelchairs, walking frames and other mobility aids travel in the luggage hold.
15.2 When booking, tell us how many Passengers need help, whether each can transfer to a standard seat, what boarding help is needed, and the size and weight of any aid so it can be stowed safely within the 20 kg handling limit. Motorised scooters need written approval. Trained assistance animals are welcome under the Disability Discrimination Act; please mention them so the driver knows.
15.3 If our website is hard to use, email us and we will handle your quote or booking by email, supply information in another format where reasonably possible, and respond to accessibility feedback within five business days.
16. Airport transfers
16.1 We collect from Sydney Airport’s international terminal (T1) and domestic terminals (T2 and T3). Your confirmation sets out the meeting point and your group contact’s mobile. The driver meets the group there once everyone is through, so keep that phone on.
16.2 Every inbound quote includes 30 minutes for domestic baggage (T2 and T3), 60 minutes for international customs and baggage (T1), and a 30-minute flight delay buffer. Delays inside the terminal not caused by the flight, such as customs queues or lost bags, attract standard waiting time once the allowance runs out.
16.3 Sydney Airport sets commercial vehicle parking charges by vehicle class and length of stay and reviews them each 1 July. They are not in the fare and are passed on at cost.
16.4 For groups on several flights, the driver arrives about 20 minutes after the last scheduled flight lands and earlier arrivals wait in the terminal. You must appoint one flight monitor, on duty and reachable by phone throughout, who tracks every flight and updates us early. You are responsible for briefing Passengers on meeting points, waiting and delay plans; we do not contact individuals. Departure buffers are in section 7.
17. Flight delays
17.1 We track arrivals for confirmed pickups. A documented delay to the arriving flight within the included allowances costs nothing extra. Please still monitor your flights and tell us early, as delays are usually known at departure.
17.2 Once a delay passes the allowance, call us so we can confirm whether the driver can stay. Waiting or overtime then applies and should be agreed before it is incurred. Beyond 60 minutes past the allowance you must choose to (a) keep the driver at the agreed rate, (b) release the vehicle and rebook, or (c) request a rescheduled pickup subject to availability and driver hours.
17.3 On long delays we may need to release the vehicle for a later job; we will tell you early and you will need other transport. A delay reaching a driver’s compulsory rest period may end the service. Replacement vehicles at short notice are charged at the normal rate and are not guaranteed.
17.4 For large groups and tight connections, have a backup plan: alternative operator contacts, a rule for when to hold or release the vehicle, a way to send part of the group ahead, and a flight monitor with authority to decide. Ask us about our optional delay protection package (a flat fee for extended waiting up to an agreed limit) and priority dispatch (a vehicle within an agreed time, even if a substitute).
17.5 We provide the confirmed transport and are not liable for knock-on costs of flight delays, such as connections or accommodation.
18. Overnight and extended charters
18.1 This applies to any charter running beyond one operating day or needing an overnight stay, such as tours, interstate trips, camps and retreats.
18.2 Each driver needs a private single room with ensuite, at least 3-star standard, with TV, heating and cooling, secure access and a quiet setting. It should be at or near the group’s accommodation; if separate, allow for the transfer. We can book it and pass on the cost, or you can book it and send us the details for approval. It is charged on top of the charter rate.
18.3 Client-arranged venues need safe off-street parking for the vehicle and any trailer, suitable access, turning space and height clearance, and must permit coach parking. If not, alternatives may cost extra.
18.4 A driver meal allowance of $70.00 per driver per day applies to all overnight and extended work and appears as its own line on your quote, even if you supply catering. Drivers must be able to choose meals that suit their allergies, religious or cultural needs (such as halal, kosher or vegetarian) and lifestyle, at times that fit their rest breaks.
18.5 Send a detailed itinerary at least one week before departure and final confirmation at least two business days before. It must allow for all rest required by the Heavy Vehicle National Law, and we may amend any that cannot be driven legally. Extra drivers, standby, waiting and repositioning may be charged.
18.6 If accommodation or meals fall short of these standards, we may arrange compliant alternatives at your cost, pause the service until resolved, or decline to continue where safety or the law is at stake.
19. Commentary and tour guides
19.1 Our drivers do not give live commentary while driving. They share only what you need: safety briefings, timings and practical instructions.
19.2 Driving a heavy vehicle needs full attention. Narration divides focus, slows reactions and takes eyes off mirrors. Work health and safety law requires us to remove that kind of foreseeable risk, and under Chain of Responsibility anyone who asks a driver to take it shares the liability.
19.3 For commentary, book a professional tour guide, which we recommend (and may require) for sightseeing, multi-stop tours, educational excursions and VIP work. Alternatives are a pre-recorded audio system or a group leader you appoint. Confirm your arrangement with us before the service date.
20. Restaurants and dining
20.1 We do not recommend, choose, endorse or book restaurants or cafés, and we take no commissions. Venues are independent and we have no control over their food, hygiene, allergens, prices or timing, while slow service can disrupt driver hours and later bookings.
20.2 You choose and book the venue, confirm time and numbers, advise your arrival time, manage dietary needs and check coach access and parking. Drivers will not deal with venues, menus or bills, apart from a basic arrival call if you ask.
20.3 On request we may mention well-known dining areas or give coach parking advice. That is general information, not a recommendation, and you rely on it at your own risk. To the extent the law allows, we accept no liability for any dining experience. Get bookings confirmed in writing and leave spare time in the plan.
21. Before your service: checklist
21.1 Once your confirmation and invoice arrive, work through this list and contact us about anything that is not right.
| Area | Check |
|---|---|
| Paperwork | Confirmation and tax invoice received with the right date, price and GST; Booking ID, Reference and Invoice Number recorded; invoice sent to whoever pays it |
| Payment | Paid or purchase order raised at least seven days before travel; bank transfers quote Invoice Number and Booking ID |
| Itinerary | Pickup, drop-off, times, route and passenger numbers all correct |
| Pickup point | A legal, safe place for a bus to stop. We have written notes on the address, access codes, boom gates, height limits and permits |
| Busy areas | One assembly point for CBD, event, school-zone or terminal pickups; destination parking arranged; Live Traffic NSW checked for the day |
| Group contact | A named person present all day on a mobile who answers the driver and calls only when everyone is ready to board |
| Passengers | Oversized items, mobility aids and access needs declared; boosters organised; medical information held by the group contact |
| Briefing | Seatbelts, stay seated, water only, no alcohol, no smoking, bags out of the aisle, cleaning fees for mess |
| On the day | Assembled before departure, headcount each leg (teacher sign-off for schools), back on time, final sweep of seats, racks and bays for belongings |
22. School excursion terms
22.1 This section covers school excursions, sport, camps and event charters for public and private schools. It is read with the rest of these terms and prevails where they differ.
22.2 Each school booking needs a Booking ID from our system and is not confirmed without one. We email a confirmation and tax invoice to the school or its representative. Fares reflect the itinerary, times, locations and numbers supplied and may be revised if those change.
This replaces the general table in section 4. Cancellations must be emailed and take effect once we acknowledge them in writing.
| Notice before service | Fee |
|---|---|
| More than 72 hours | No charge |
| Within 72 hours | 10% of the total booking cost |
| Within 48 hours | 20% of the total booking cost |
| Within 24 hours | 100% of the total booking cost |
| No-show or same-day cancellation | 100% of the total booking cost |
22.3 An approved refund has a $100 (including GST) administration fee deducted, and the balance goes back to the original payment method within 10 business days of written confirmation.
22.4 Changes to date, times, locations or numbers must be requested in writing at least 72 hours ahead, subject to availability. Cost increases bring a revised quote, and later requests are at our discretion.
22.5 School overtime runs from the moment the booked time is exceeded, in 20-minute blocks at $55.00 ($165.00 per hour) including GST, invoiced afterwards and accepted by the school. Build in at least a 15-minute buffer and enough time to load at each stop.
22.6 Payment follows the terms on the invoice, in Australian dollars including GST, by credit card, purchase order, EFT or NSW Government P-Card.
22.7 The school briefs students and staff beforehand: no smoking, alcohol or illegal substances, no food or hot drinks (water only), seated and belted, and driver directions followed. We may refuse or end a service where behaviour is unsafe, and the school stays liable for costs.
22.8 A teacher or authorised staff member must be present for boarding, the whole journey and getting off, and the school keeps primary duty of care. The school must confirm accurate numbers (extra transport cannot be guaranteed), tell us before travel about special needs, medical or mobility issues and other risks, and make sure every stop has safe, lawful bus access.
22.9 Vomit is a real health hazard. Norovirus, the leading cause of gastro outbreaks in NSW schools, can infect from 10 to 20 particles, one episode releases millions into the air for the air-conditioning to circulate, and it survives on fabric for weeks. Clean-up under the Work Health and Safety Act 2011 (NSW) needs protective equipment, a biohazard spill kit, an air-conditioning flush, seat treatment or replacement, and hours or a day off the road.
| Incident | Fee (including GST) |
|---|---|
| Sickness bag used, vehicle clean | $0 |
| General mess beyond a normal clean | $88 |
| Vomit on the floor | $350 |
| Vomit on seat fabric | $550 |
22.10 Cleaning fees are invoiced after the service, payable within 14 days and not negotiable; specialist remediation may cost more. Carry at least one sickness bag per student for trips of 30 minutes or more, kept by the teacher in charge with the first aid kit.
22.11 We are not responsible for delays from severe weather, closures, crashes, mechanical failure or other matters outside our reasonable control. The school, organiser and responsible adult are liable for student damage. To the extent the law allows, our liability is capped at the charter fee for the affected service and excludes consequential loss, and belongings travel at the owner’s risk. Neither party is liable for failure caused by force majeure, including disasters, declared health emergencies, government restrictions, industrial action or major network disruption. NSW law governs, and booking confirms acceptance.
23. Fleet safety standards
23.1 Every vehicle is accredited under the NSW Bus Operator Accreditation Scheme and maintained to Transport for NSW requirements. Vehicles are serviced and inspected on a regular schedule, drivers carry out safety checks during their shift, and the National Heavy Vehicle Regulator can inspect our fleet at the roadside at any time.
23.2 All vehicles are air-conditioned with seatbelts in every seat, and all drivers are authorised by Transport for NSW and licensed for their vehicle class. When a timetable or request conflicts with safety or the law, safety and the law come first.
24. Liability and consumer law
24.1 Our services carry Australian Consumer Law guarantees that cannot be excluded, including due care and skill, fitness for purpose and supply within a reasonable time.
24.2 To the full extent the law allows, we are not liable for indirect, incidental, special or consequential loss, including lost profit or missed events or flights. Our total liability for any service, including for personal injury or death, is capped at the charter fee paid for that service date.
24.3 Passengers must wear the fitted seatbelt, stay seated, follow safety directions and obey the law. Supervising children and their belts or restraints is the responsibility of you and accompanying adults. To the extent the law allows, we are not liable for injury, loss or damage to the extent it results from a Passenger failing to do these things. This adds to clause 24.2.
24.4 We are not liable for delay or failure caused by events beyond our reasonable control, including natural disasters, pandemics, industrial disputes, regulatory change, major transport disruption or acts of God, or for the acts of venues, car parks, accommodation, ferries or other third parties, whose own terms apply to you.
24.5 We may adjust prices if fuel costs rise materially, if legal or regulatory changes materially increase our costs, or if errors in booking details raise our operating costs.
25. Complaints and governing law
25.1 Send complaints in writing to [email protected] within 14 days of the service. Each is logged and handled under NSW passenger transport law and our complaints procedure.
25.2 These terms are governed by the laws of New South Wales, and you submit to the exclusive jurisdiction of its courts. They are the entire agreement between us and replace earlier agreements or statements. We may change them without notice, and the version on this page applies from posting.
26. Privacy and copyright
26.1 We collect only what we need to quote, book, run and invoice your service, such as names, contact details, addresses, flight details and any access or medical needs you tell us. We use it for those purposes and our legal obligations, share it only with those delivering your service, never sell it, and handle it under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Email us to see or correct your information.
26.2 All content on this website, including text, policies, these terms, images and design, belongs to Sydney Bus Hire Co. and is protected by the Copyright Act 1968 (Cth). You may keep one unaltered copy of a page for personal, non-commercial reference, and fair dealing for research, study, criticism or review is allowed within the Act. Without written permission you may not copy, adapt, republish, sell or create reworded versions for commercial use, or scrape our content with bots, crawlers or AI tools; we may block and take action against anyone who does.
26.3 Playing music or films to a group on a charter is a public performance. Music needs licences for the composition and the recording (both available through OneMusic Australia), and film needs its own public performance licence. You must hold them whatever the source. Without proof of a licence on request, the driver may stop the content, and we accept no liability for infringement.
